We are seeking an exceptional Strategic Projects Executive to support a Director on a fixed-term basis until March 2027.
Working as part of the Director's Office, this role will provide high-level executive coordination and administrative support across a portfolio of strategic priorities, external engagements and organisational initiatives. The postholder will play a critical role in ensuring activities remain organised, coordinated and on track, enabling the Director to focus on strategic leadership, relationship building and decision-making.
The role will support the coordination and administration associated with a range of high-profile activities including planning for the United Nations General Assembly (UNGA) 2026, the World Economic Forum Annual Meeting in Davos 2027, War Child UK's Gala Event 2026, advocacy initiatives and engagement with War Child's founding global ambassadors.
The role is responsible for the coordination and administration of strategic initiatives, the postholder will ensure effective planning, action tracking, information management, relationship mapping and follow-through across the project portfolio.
This role is ideally suited to a highly organised and proactive individual who excels at managing competing priorities, coordinating complex schedules and ensuring actions are followed through to completion.
The team regularly comes together in our London office for collaboration, relationship-building and key meetings. The successful candidate will be expected to attend these in person and support initiatives in London and elsewhere, as required.
Your Role
This role is central to the effective coordination of key organisational projects and of the Director's priorities and commitments.
You will work closely with the Director to coordinate a portfolio of strategic projects, events and engagements, providing exceptional administrative, planning and organisational support. Acting as a trusted operational partner, you will ensure information is organised, actions are tracked, deadlines are visible and preparations for key meetings, events and international engagements are delivered to the highest standard.
Working across multiple teams and War Child member organisations, you will support communication, coordination and information flow whilst maintaining oversight of key actions, documents, timelines and logistics.
Your Responsibilities
- Provide high-level executive support to the Director, including complex diary management, meeting preparation and prioritisation of competing commitments.
- Coordinate the Director's portfolio of strategic projects and engagements, maintaining oversight of actions, deadlines, dependencies and key deliverables.
- Track and progress actions arising from meetings, projects and strategic discussions, ensuring appropriate follow-up and accountability.
- Coordinate information, inputs and communications across War Child member organisations and internal teams to support effective planning and collaboration.
- Schedule and support meetings across multiple teams and time zones, including preparing agendas, briefing materials, notes and action logs.
- Prepare presentations, briefing papers, reports, proposals and other materials for internal and external stakeholders, events and engagements.
- Coordinate planning and administration for key external engagements, including the United Nations General Assembly (UNGA) 2026, the World Economic Forum Annual Meeting in Davos 2027, advocacy activities and engagement with War Child's founding global ambassadors.
- Maintain project documentation, filing systems, stakeholder maps, action trackers and records, ensuring information is accurate, accessible and up to date.
- Map stakeholders and relationships key to projects, maintaining up to date records of all activity and identifying any opportunities for engagement
- Maintain accurate records of contacts, meetings and engagement activity in Salesforce and support research and information gathering where required.
- Coordinate domestic and international travel arrangements for the Director, including itineraries, accommodation, visas, logistics and briefing packs.
- Undertake administrative and operational tasks delegated by the Director and proactively identify issues, risks or bottlenecks requiring attention.
- Collaborate with colleagues across War Child to support effective coordination, communication and information sharing.
- Contribute to a culture committed to safeguarding children and adults and compliant with War Child UK's Safeguarding and PSEAH policies.

You Are
Essential experience
- Significant experience providing executive support to Director or Executive-level leaders.
- Experience coordinating complex projects, programmes, events or strategic initiatives.
- Experience managing actions and deliverables across multiple workstreams.
- Experience coordinating international meetings, travel and logistics.
- Experience preparing high-quality reports, presentations and briefing materials.
- Experience maintaining accurate records and relationship information using Salesforce or similar systems.

- Highly experienced in providing executive-level support to senior leaders.
- Able to manage complex workloads, competing priorities and multiple deadlines simultaneously.
- Exceptionally organised with outstanding attention to detail.
- Skilled at coordinating complex programmes of activity and ensuring actions are completed.
- Able to create clear, engaging and professional presentations, reports, briefings and meeting materials.
- Highly adept at managing Outlook calendars, inboxes and scheduling requirements.
- A confident user of Microsoft Office applications, particularly PowerPoint, Word and Excel.
- Experienced in using Salesforce or similar CRM systems.
- Able to work calmly and effectively in a fast-paced environment where priorities may change quickly.
- Comfortable working autonomously while maintaining strong collaborative relationships with colleagues.
